Keep clients happy and informed

Sending the schedule is not the same as getting every shift confirmed.

Small communication gaps can turn into missed jobs.

The assigned cleaner has not responded to the schedule.
A callout gets buried in a text thread.
The client finds out before the owner does.
Before the job starts, check these eight things.
1Staff assigned

Every shift has a named cleaner or staff member before it is shared.

2Date and time confirmed

The cleaner has the correct date, start time, and end time for the job.

3Job location confirmed

The cleaner knows the client, site, route, or job location they are covering.

4Access notes shared

Keep location and minimum access instructions separate from sensitive credentials. Do not put raw door, lockbox, or alarm codes in ordinary email or shared templates.

5Staff response received

The assigned cleaner confirmed the shift.

6Unconfirmed shifts flagged

No-response shifts are marked for reminder or owner follow-up.

7Pending-cover follow-up

If a cleaner responds with Cannot make it, the shift moves to pending cover. A Staff/Admin may submit a Cover Request for Owner/Admin review.

8Final follow-up before the job

The owner or admin does one last review so coverage gaps are not missed.
