Cleaning Shift Notification Email Troubleshooting
Start with the email record and the recipient's folders. This checklist helps cleaning owners, admins, and cleaners identify why an expected shift notification is not where they expected it.
What Sent, Failed, and Skipped mean
Sent means CleanConfirm attempted to send. It does not prove inbox placement, an email open, or a read. CleanConfirm does not track email opens and does not provide read receipts.
Sent
The system attempted to send the email. Check folders and search before assuming a delivery failure.
Failed
The send attempt failed. Verify the recipient address and follow the current workflow before trying again.
Skipped
The send attempt was skipped. Review the record and the associated shift before deciding the next manual action.
Look in the places an expected email may appear
These actions help a cleaner locate or correctly classify a legitimate message. They do not guarantee future inbox placement.
01
Check Spam.
02
Check Junk.
03
Check Promotions.
04
Search for the sender name or the subject line.
05
If a legitimate message is found, mark it Not Spam or Not Junk.
06
Add the sender to contacts.
07
Gmail users can create an appropriate filter using Google's official guidance; Outlook users can add the sender to Safe Senders using Microsoft's guidance.
Review the recipient and the email record
Keep the diagnosis factual. CleanConfirm does not automatically retry, verify inbox delivery, or monitor the recipient's mailbox.
- 01
Confirm that the Team Member email address is correct.
- 02
Open the matching CleanConfirm email record.
- 03
Distinguish Sent, Failed, and Skipped rather than treating them as the same result.
- 04
Sent means the system attempted to send; it does not mean the message reached the primary inbox, was opened, or was read.
- 05
After verifying the address and record, an owner or admin can send a manual reminder when that is the right next step.
- 06
For an urgent shift, use the team's existing direct contact method instead of relying on email alone.
What CleanConfirm cannot verify
An email notification is not the same as a confirmed shift. Wait for an explicit cleaner response before treating the assignment as confirmed.
- Whether the email reached the primary inbox.
- Whether the email was opened.
- Whether the cleaner read the message.
- Whether the cleaner will attend without an explicit confirmation.
Mailbox actions referenced in this guide
Google and Microsoft publish the recipient-side mailbox guidance below. CleanConfirm cannot bypass their filtering systems.
Use a confirmation, not a delivery assumption
Once the recipient can find the message, ask for an explicit confirmation or cannot-make-it response. That gives the owner or admin an observable next step.
Questions this troubleshooting guide answers
Does Sent mean a cleaner received the shift email?
No. Sent means CleanConfirm attempted to send the email. It does not prove primary-inbox placement, opening, reading, or attendance.
Can CleanConfirm show whether a shift email was opened?
No. CleanConfirm does not track email opens and does not provide read receipts. Use the cleaner's explicit confirmation to confirm the shift.
What should an owner check before sending another reminder?
Check the Team Member email address and the matching email record first. Then distinguish Sent, Failed, and Skipped before deciding whether a manual reminder is appropriate.
What should a team do when a shift starts soon?
Do not rely on email alone for an urgent shift. Use the team's existing direct contact method and ask the cleaner for an explicit confirmation or a cannot-make-it response.
