Manual follow-up template

Cleaning Shift Pending Response Aging Report Template

For owners and admins who already sent the schedule and need one manual view of shifts without a clear response, a response deadline, or a next follow-up action.

A manual report for unresolved shift responses

Copy the tab-separated table into Excel or Google Sheets, then set the follow-up window your team wants to use.

A response and a shift status are not the same thing

Keep the report useful by recording the current shift status separately from what the cleaner said in a message.

Unconfirmed

The assigned cleaner has not explicitly confirmed the shift.

Confirmed

The assigned cleaner gave an explicit confirmation for that shift.

Pending Cover

The shift is waiting while an owner or admin reviews a Cover Request.

Cannot make it

This is a cleaner response, not a shift status. A newly assigned replacement cleaner must confirm separately.

Choose the next check based on the shift, not a fixed rule

This template does not set a universal 24-, 48-, or 72-hour rule. Choose a follow-up window that fits the client commitment and time remaining before the shift.

Sort by response deadline or time-to-shift

Put the closest response deadline or earliest shift first so the owner or admin can decide what needs attention now.

Use direct contact for an urgent shift

When the service window is close, use the team's existing direct contact method instead of relying on an email alone.

Record Pending Cover when a cleaner cannot make it

Keep the shift visible as Pending Cover while an owner or admin reviews the Cover Request and decides the next manual action.

Keep the report as a manual aid

Update the rows from the information your team has. This template does not calculate aging, send reminders, escalate, or reassign work automatically.

Use a report to decide the follow-up; use CleanConfirm for the response workflow

CleanConfirm handles assigned-cleaner confirmation after scheduling, visibility into Confirmed, Unconfirmed, and Pending Cover shifts, manual owner or admin email reminders, and Cover Request review. It does not automatically calculate response age, set a follow-up rule, escalate, or reassign a shift.
